CLUB PURPOSE: The purpose of the East Coast Camaro Club, Inc is to promote and encourage charitable giving and philanthropy
and to support various charitable and philanthropic organizations. Also to provide an outlet for Camaro enthusiasts to organize
and associate with other Camaro enthusiasts and to act as an organization to share knowledge of and preserve the history of
the Camaro motor vehicle.
MEMBERSHIP ELIGIBILITY:
MEMBERSHIP: Open to anyone with an interest in Camaros and includes all members of
that household.
DUES: Dues are $25.00 per year, payable at the time of joining and renewed each year. Show Sponsors
or Club Contributors may be entitled to free running ads on the website as well as in the quarterly newsletter as space permits
and/or free membership.
OTHER BENEFITS:
You'll be eligible to buy club items such as hats, jackets, shirts, pins, logos, etc..
You'll be able to advertise for free on the club website as well as in club newsletter, as space permits. (Paying Advertisers,
Show Sponsors or Club Contributors get priority.)
You'll have access to other clubs newsletters and information about car shows, new products, and what's going on in the
car world.
You will have access to the club website for up to the minute events and club happenings.
You'll be eligible to earn a free club attendance jacket if you make 11 out of 12 club monthly meetings.
MEETINGS: The club will meet every third Sunday of each month, unless otherwise arranged. The meeting place will be
designated by the Board of Directors and announced in the newsletter. Officers will have separate meetings to organize the
events, etc.. and will be scheduled at their convenience. Special committee meetings will be held as needed.
ELECTION FOR CLUB OFFICERS:
Elections for Officers will be held at the November meeting. Nominations are to be held at the October meeting. Any member
who attended at least 1/3 of club events may send in an absentee ballot to vote. 15 or more members must be at a meeting to
vote on any issue before the club, except for elections. Officer elections will be done on a ballot and counted by a non-candidate.
Once elected, the Club Officers will then elect a 3 member board to act as the
Board of Directors with the President holding one position. If a 3 member board cannot be decided at the November election,
the remaining positions will be assumed by the Secretary first and Treasurer second. Term of office is from January 1 –
Dec 31. By-Law changes may be brought up at any time of the year and amended quarterly.
SPECIAL COMMITTEES: For special events, a committee may be formed and will have a chairperson with volunteers that will
report to the board as needed.
YEARLY AWARDS: As voted on by the Board of Directors, the following awards are given:
Outstanding member of the year
Appreciation award
Rookie of the Year
And other ‘Special Awards’ as deemed appropriate by the board.
The above Yearly Awards are for general membership only. Yearly awards are given out ant the December meeting. Periodic
service awards are given any time. The Board of Directors can also nominate a member for Lifetime Membership status by a unanimous
vote, and be submitted to the Chairman of the Board for approval. Lifetime Memberships can only be given once in a Calendar
year
CAMARO OF THE MONTH:
The Officers will select a monthly ‘Camaro of the Month’ award. The person/Camaro selected can only be selected
once within a calendar year. The Board of Directors will select the appropriate award to be presented at a future meeting.
The Member/Camaro selected will be featured on the club website.
ELECTED OFFICER DUTIES
CHAIRMAN OF THE BOARD:
The outgoing President, or if the outgoing President is on the 3 member board of directors, the Chairman will be selected
by the Board of Directors.
Must be a member for 2 years to run with 50% attendance or more for the past 2 years.
Must own a Camaro and must have previously held a President or Board of Director Position.
Chairman of the Board has Veto power over the Board of Directors. Veto can be overridden by majority vote at a monthly
meeting.
The Chairman of the Board can be called upon to cast the deciding vote if necessary. This includes breaking a three-way
tie between the Board of Directors, or Delegating a lead director for the purpose of dealing with a specific activity or duty.
BOARD OF DIRECTORS (3):
Share responsibility of presiding over regular membership and officer meetings.
Provides meeting place.
Retains copies of monthly membership chairperson's reports.
Selects persons to be club Photographers.
Decides what members will maintain club items.
Decides what officers will maintain club items such as Club Library, Banners, Photo Albums, News Letters, etc...
Handles all club correspondence including receiving and distributing the mail.
Acts as the main contact for other persons trying to reach the club.
Appoints members to special committees/assignments as appropriate.
Appoints Club Newsletter Editor, Publisher, Printer and/or Webmaster.
Must be a member for 2 years to run should have 50% meeting attendance or more.
Must own a Camaro.
Must submit monthly reports/articles for the Monthly Newsletter
PRESIDENT:
The President will become one of the 3 Member Board of Directors.
If the President leaves the position, a replacement can be nominated by the Board, and voted in by the Membership anytime.
SECRETARY:
Secretary can also be one of the Board of Directors.
Responsible for taking event Attendance.
Responsible for sending out letters and special notices to membership, including 'good & welfare' correspondence,
cards, flowers, etc..
Takes accurate notes of meetings and club events for reporting to the membership and publication in the newsletter.
Will fill the position of one of the Board of Directors should there be one remaining position.
If the Secretary leaves the position, a replacement can be nominated by the Board, and voted in by the Membership anytime.
TREASURER:
Treasurer can also be one of the Board of Directors.
Handles all banking and bill paying for the club.
Maintains a set of books with financial records for membership to view.
Maintains a checking account with the President as co-signer.
Must be a member for 2 years to run with 50% attendance or more.
Receives dues and other payments to club and records their origin.
Will fill the position of one of the Board of Directors should there be two remaining position.
If the Treasurer leaves the position, a replacement can be nominated by the Board, and voted in by the Membership anytime.
MEMBERSHIP:
Membership Officer can also be one of the Board of Directors.
Registers all new members and mails out membership packets.
Keeps a current membership list and reports it to other officers.
Mails out membership renewal notices.
Greets new members and introduces them at club events.
Helps the Treasurer with dues and renewals
If the Membership Officer leaves the position, a replacement can be nominated by the Board, and voted in by the Membership
anytime.
SECURITY: (1 or more Positions)
Provides items for monthly raffle and runs the raffle, turns money into treasurer.
Runs the fining session at monthly meetings and turns money into Treasurer.
Maintains order and security at all club events.
Security officers are appointed by the Board of Directors anytime.
OFFICERS CODE OF CONDUCT: ALL OFFICERS WILL MAINTAIN GOOD STANDING WITH THE CLUB. ALL OFFICERS WILL HAVE A TELEPHONE
AND A CLUB PHONE DIRECTORY. ALL OFFICERS WILL CONTRIBUTE REPORTS TO THE MEETINGS AND NEWSLETTER. NO OFFICER WILL SPEND
MORE THAN $50.00 OF CLUB MONEY WITHOUT A VOTE BY MEMBERSHIP. ANY OFFICER MISSING 3 CLUB MEETINGS WITHOUT A VALID EXCUSE
WILL BE SUBJECT TO BE VOTED OUT OF THE POSITION.
ALL OFFICERS MUST TURN IN CLUB ITEMS WHEN THEIR TERM EXPIRES.
GENERAL CODE OF CONDUCT:
All members will conduct themselves in an orderly manner to ensure and respect the rights of others and their property.
Members will obey any and all rules of any establishment where club functions are held according to the proprietor of
the location.
Members may not pose as a club officer unless otherwise arranged.
Emergency spending over $50.00 requires a majority vote by Board of Directors. If one Board Member cannot be reached the
Chairman of The Board can vote in their place, otherwise, this is considered a NO vote.
Emergency spending cannot exceed over 2/3 of uncommitted funds.
When members are speaking, others are required to listen or pay $1.00 fine.
All members should wear official club shirts to club events.
All members are encouraged to buy club clothing e.g. hats, shirts, jackets, etc..
Parties after club events are not considered club functions and members do so at their own discretion.
If four or more Camaros represent the club at a car show, it's automatically a club event; someone must turn in an attendance
record to the Board of Directors.
CLUB FINES:
$ .50 fines are given at meetings during the fining session for little violations of club rules or silly things done by
members at club events.
Major fines are levied by a minimum of two members in writing to The Board of Directors, signed by both parties. 1st.
offense is $5.00, 2nd. is $10.00, and a 3rd. offense sees the Board of Directors for possible removal from the club.
CLUB CONVOYS:
Lights on at all times in convoy, use high beams if you have light covers.
No passing in convoy unless a reason requires it.
A member will be designated for each trip as a convoy leader.
The last car in line will pull over with anyone who breaks down and the convoy will continue to the nearest safe stopping
point. Only leave for emergencies.
Follow in convoy at a close, but safe, distance.
All Camaros go first in a convoy unless special circumstances apply.
No horseplay, burnouts, or speeding in a convoy. You represent the club out there.
Major fines should be levied for unsafe or unlawful driving while in a convoy.
No alcoholic beverages ever should be consumed while driving at any time.
Cars unable to keep up may request the convoy go slower.
Members are encouraged to have CB radios and use channel 5 for the convoy.
These by-laws are for the safe and healthy running of the East Coast Camaro Club. The club reserves the right to vote
any one out if they do not adhere to them. |
